Congratulations on nearing the end of your studies

Entering your final year of study at Macquarie University? Please read the information below carefully and carry out the steps that will assist you with completing your course on time.

The information on this webpage is for Coursework students only. If you are studying a Higher Course Research program you will need to refer to the Office of HDR Training and Partnerships for further information.

Inform the University that you intend to complete your studies

All coursework students need to submit an I Expect to Complete (IETC) form at the start of their final year of study.

The IETC tells the University that you expect to meet the requirements of your award at the end of your nominated completion period. It ensures that once your results are released for your final session of study, your record will be checked to see if you meet the requirements to qualify for your nominated course. Please note you will not receive a response from this form, and you will not be assessed for completion until after your final results have been released for your final session of study.

Exiting with a single course

Undergraduate double degree students

If you are admitted into an undergraduate double degree and you wish to exit with the single degree component of your studies, you should apply to Course Transfer prior to your final year of study in the single course you wish to exit with.

If you are unable to course transfer into the single degree component of course that you wish to exit with, please submit an enquiry via AskMQ to advise you on your options.

Postgraduate double degree students

If you are admitted into a postgraduate double degree and you wish to exit with the single degree component of your course, you will need to submit an IETC form nominating the single degree as the course that you wish to be assessed against for qualification instead of your admitted course.

Note: If you have met all your course requirements at the end of your final session as nominated in your IETC form, you will be qualified for this course and the status of this course will show as passed. Once you have been qualified for your course, further amendment cannot be made to your study plan. Students will need to apply as new applicants to be admitted into the single course component that they did not qualify for, should you wish to return to your studies.

Exiting with a Graduate Certificate or Graduate Diploma (postgraduate students only)

If you are a postgraduate Masters student who wishes to exit with a relevant Graduate Certificate or Graduate Diploma for your course, you will need to submit an IETC form nominating the exit award as the course that you wish to be assessed against for qualification instead of your admitted course. If the exit award you wish to qualify with is not available, please submit an enquiry via AskMQ.

Note: If you have met all your course requirements at the end of your final session as nominated in your IETC form, you will be qualified from this course and the status of this course will show as passed. Once you have been qualified from your course, further amendment cannot be made to your study plan. Students will need to apply as new applicants to be admitted back into the Masters Program they were originally admitted into.

Submitting an IETC after results are released

Where an IETC form is submitted during your final session of study or after the results are released for your final session of study, the University cannot guarantee that you will be qualified at the time of result release or at the time your IETC is submitted.

You will need to allow 5-10 business days after submitted your IETC form for the University to process your request, should you meet your course requirements.  If after this period you have seen no progress with this, submit an enquiry via AskMQ.

Course advising

If you are unsure of whether you are on track to meet the requirements of your course, you should seek course advice from your faculty. You must also contact your faculty if you have any concerns regarding external accreditation requirements for your course.

Self check

It is also beneficial to check your own requirements to ensure you are enrolling in the correct units through a self-check. The ‘My Enrolment’ section of eStudent is only an enrolment tool and should not be used to determine completion requirements. The following steps will assist you with checking your remaining requirements:

Step 1
All Students:
  • Email yourself a copy of your unofficial transcript from the ‘My Results and Graduation’ section of eStudent and retrieve this from your student email
  • Locate the course you are admitted to on this transcript (for those who have studied multiple courses)
  • Disregard any units with grades F, FA, FW, FH, SC, or W as these do not count towards your course requirements.
Step 2
Option One*

Single degree:

  • Retrieve your personalised study plan
  • Check and compare the units on your unofficial transcript against your study plan. Pay special attention to the overall requirements found on Page 1 such as:
    • Overall Credit Points required:  add the number of credit points completed found under the heading “Credit Points Gained” in your unofficial transcript to see how many credit points you are missing
    • Credit Points required at a certain level:  such as 2000 level or 3000 level or above (if applicable)
    • Completion of a PACE unit
    • Completion of units with a certain prefix, such as PICT or LAWS (if applicable)
  • Take note of any requirements (either specific units or overall requirements) you have not met.

* This is the most suitable option for students who commenced their studies prior to 2020.

Option Two

Single degree:

  • Compare the units completed on your unofficial transcript to those required in the Handbook.
    • The Handbook sets out all the required units for your course for the year you commenced your studies and is a comprehensive guide to what units must be completed in order to qualify with your course.
    • Pay special attention to the overall credit points required in your course, not just the specific units in your Core Zone.
    • Ensure you are looking at the Handbook for the year you began your course.

Double degree:

  • Use the Double Degree Search tool in the Handbook and enter your courses.
    • The Handbook sets out all the required units for your course for the year you began and is a comprehensive guide to what units must be completed in order to qualify with your course.

Completion check

If you are in your final session of study, you can contact us by submitting an enquiry via AskMQ. We will assess your transcript and advise you if you are missing any requirements for your study.

Why am I still admitted if I’ve submitted an IETC form?

If you do not meet the requirements for your course at the end of your nominated completion period, you will not be qualified, and your course status will remain as admitted.

We have listed some reasons below as to why you may not meet your course requirements, please read through these carefully.

Missing Requirements

Students who are missing core requirements for their course, will not be qualified at the end of their studies. To confirm you meet all the requirements for your course, refer to Checking your own progress section of this webpage.

The most common requirements students do not meet at the end of their studies have been listed below to assist you with identifying why you may have not been qualified:

Missing Credit Points

Each course will have a minimum number of credit points you must complete in order to be eligible to qualify from your course.

In order to confirm whether you meet the total credit points for your course, you will need to refer to the Checking your own progress section of this webpage

Missing PACE requirements

All courses have a PACE requirement that needs to be met for course completion. A number of courses have PACE embedded within them; however, a few courses still require the student to select a PACE unit within their course structure to meet this course requirement.

To check and see if you meet the PACE requirements for your course, you will need to check the General Requirements listed on the first page of your personalised study plan. If a PACE unit requirement is listed, then you will need to ensure you have completed a PACE unit to meet your overall course requirements.

If you are unsure you are on track to meet the requirements of your course, you should seek course advice from your faculty.

Failed Units

If you fail units in your final session of study, you may then be missing core requirements for your course, so it is important to complete a self-check following the steps found in the Checking your own progress section of this webpage. This will help ensure your failed units do not impact your ability to qualify from your degree.

If the failed units are required for your degree, it is recommended you seek course advice from your faculty to receive information on what you need to do next.

Incomplete Grades

Students with Incomplete Grades at the time of completion will not be able to be qualified. If you have any remaining incomplete grades (I, IS, UL, UJ, UD, K) you will need to follow up with your faculty as these must be resolved before you are assessed for qualification.

Once your incomplete grade has been resolved, you will be assessed for completion and qualified from your degree.

Once you have been qualified, a Completion Letter will be emailed to your student email address approximately 2 – 3 business days after the release of results for your nominated session. This letter is a notification of your completion and will state the month and year of when your award will be conferred. Students cannot receive a Completion Letter until they have been qualified for their degree.

Outstanding fee sanctions will need to be cleared before you can receive your completion letter.

Graduation

A Completion Letter is not your Graduation Invitation; you will need to wait until you receive the Conferral of Course Invitation email for details of your ceremony as well as modifying your attendance in eStudent. This will be sent to your student email address 6 weeks prior to your graduation ceremony. See more information regarding Graduations.
